Student answer (Band 7.5)
Dear Mr Robert,
I hope you are doing great. I am writing in response to your request for me to give my suggestions on how the reception area could be improved. To begin with, most customers have complained about how the chairs in the reception are not comfortable, and how hot the room gets when there are a lot of people waiting.
It is very important that the waiting area is conducive for our clients because this is where most of them sit while they wait for their turn to be attended to. Also, this is the company's first point of contact, so I believe that the area should be impressive, especially to our prospective customers.
To satisfy the needs of our customers, I would like to suggest that an airconditioner be installed in the room to support the existing standing fan. I believe that having both appliances working together would reduce the temperature in the room and make it more conducive. Additionally, the furniture in the area could be replaced with well cushioned ones, so that visitors can sit comfortably while waiting.
I really appreciate your continous effort in ensuring that our clients receive the best form of service. I hope that my suggestions are helpful.
Yours faithfully,
Mariam

Task Achievement / Task Response: Band 8.0
The letter covers all three requested points clearly and develops them with relevant detail. You identify the complaints about uncomfortable chairs and a hot room, explain that visitors wait there and that it creates a first impression for prospective customers, then recommend an air conditioner and better-cushioned furniture. The suggestions are linked to the problems, particularly when you explain that the appliances would lower the temperature and new seating would improve comfort. This complete, purposeful response is well aligned with the task. To make the ideas even more fully developed, you could briefly explain how the improvements might be implemented—for example, replacing the chairs with a specified type or arranging regular checks of the cooling equipment.
Coherence and Cohesion: Band 7.5
The letter is organised in a clear sequence: opening purpose, complaints, the importance of the reception area, proposed improvements, and a courteous closing. Paragraphing supports this progression, and linking expressions such as “To begin with,” “Also,” and “Additionally” help readers follow the points. The connections are generally clear, though some transitions are quite explicit and formulaic. For a more flexible, polished flow, you could connect related ideas more naturally—for instance, move directly from the complaint about heat to the air-conditioning proposal, then from the seating complaint to the furniture recommendation. The closing is appropriate, although the appreciation sentence could be linked more directly to the request for action.
Lexical Resource: Band 6.5
You use an adequate range of vocabulary for a formal workplace letter, including “prospective customers,” “first point of contact,” and “well cushioned.” These choices communicate the main ideas clearly, and the tone is generally suitable. However, some expressions are less natural or precise: “conducive for our clients” is an awkward collocation, “the best form of service” is vague, and “airconditioner” and “continous” contain spelling errors. “Doing great” is also rather conversational for a letter to a manager. Greater control of collocation and spelling, alongside more precise wording, would strengthen the vocabulary. For example, use “comfortable and welcoming” for the waiting area and “high standard of service” in the closing.
Grammatical Range and Accuracy: Band 7.0
The response includes a useful mix of simple and complex structures, and many sentences are accurate, such as “I am writing in response to your request” and “I believe that having both appliances working together would reduce the temperature.” The conditional recommendation, “I would like to suggest that an airconditioner be installed,” also shows control of a more complex form. A few grammatical choices remain less natural: “conducive for our clients” uses an unsuitable preposition within the phrase, and “the best form of service” is an awkward construction. The sentence beginning “To begin with” also repeats “how” in a way that makes the structure slightly cumbersome. Aim to keep complex sentences, but make their phrasing more direct and idiomatic.
