Dear ................. ,

Student answer (Band 6.5)

Dear Mr. Dutton,

I am writing this letter to show my interest to spend six months in the head office of the company in the United States. As you know that we are planning to purchase Co-ordinate Measuring Machine in the next year and employees, who are working in the head office, have been already using this machine to check the quality of products. If I have an opportunity to go there for six months, I would be proficient to operate it.

During my absence, I have already asked Mr. Singh to perform my duties and he agreed. Apart from this, I am also available on emails and phone calls. If there is any issues related to my work, I can assist him to tackle these issues.

I would be extremely grateful if you could help me to contact the officials of the head office to do this arrangement. Without your assistance, it is really difficult for me to do it.

I look forward to hearing your prompt response.

Yours sincerely,

Ravneet Kaur

Task Achievement / Task Response — Band 7.0

The letter successfully addresses all three bullet points of the prompt. You clearly explain the professional motivation for the transfer, propose a viable solution for your current workload by mentioning Mr. Singh, and make a polite request for assistance. The tone is appropriate for a formal business letter. To reach a higher band, you could expand slightly on the benefits to the company, such as how your newly acquired skills would specifically improve productivity upon your return, rather than just stating you would be proficient.

Coherence and Cohesion — Band 7.0

The letter is logically organized with a clear introduction, body paragraphs addressing specific requirements, and a formal closing. Each paragraph has a central focus. You use some cohesive devices such as 'Apart from this' and 'During my absence' to link ideas. However, the flow could be improved by using a wider variety of linking words and ensuring that transitions between sentences are smoother. For instance, the connection between the machine purchase and your request could be more explicitly linked to show the strategic value of your trip.

Lexical Resource — Band 6.0

You demonstrate an adequate range of vocabulary for the task, using terms like 'proficient', 'absence', and 'assistance'. However, there are some minor inaccuracies in word choice and collocation. For example, 'show my interest to spend' should be 'express my interest in spending', and 'do this arrangement' is better phrased as 'make these arrangements'. While the vocabulary is sufficient to convey your meaning clearly, incorporating more precise business-related collocations would elevate the response to a higher band.

Grammatical Range and Accuracy — Band 6.0

You use a mix of simple and complex sentence structures, such as conditional sentences ('If I have an opportunity...'). There are some grammatical errors, such as 'If there is any issues' (should be 'are') and 'employees, who are working... have been already using' (the 'been' is unnecessary here). Despite these errors, the meaning is always clear, and the punctuation is generally accurate. To improve, focus on subject-verb agreement and refining the use of verb tenses to ensure greater precision in your complex sentences.
