Dear Sir or Madam,
Student answer (Band 6.5)
Dear Sir or madam,
I am writing this letter in regards of the feedback of an all-day meeting for "XYZ" Company last Saturday at your hotel. All the particpants were thrilled with the decor and thw welcoming act that your crew set up. It was all perfectly complementing the theme for the party. However, we were disappointed with food and catering services provided during the event. First of all, only five appetizers were served altough the promised amountwas seven. And from the food available, some food items like steak and chicken were very undercooked along with donuts and croissants being stale and not up to taste mark.
I would really appreciate if you can have some investigation in this matter as it is effecting overall experience for the people. Moreover, a detailed brief may be given to the kitchen staff to look over and probably plan how to take care of these problems in the future.
thank you again for hosting us and I hope you will consider my feedback as an opportunity to provide even better experience at your hotel.
Thank you
Roop

Task Achievement / Task Response: Band 6.5
You address all three points: you praise the hotel’s “decor” and the welcoming arrangements, explain that fewer appetizers were served than promised and that several items were undercooked or stale, and ask for an investigation and better kitchen planning. These details make the complaint relevant and clear. The response also uses an appropriate formal opening and closing. To make the ideas more fully developed, explain more specifically what action you expect—for example, checking food quality before service or ensuring the agreed quantities are delivered. The suggestion to give staff a “detailed brief” is relevant, but its practical steps are not yet clear. Overall, the task is covered, though some points are more developed than others.
Coherence and Cohesion: Band 6.5
The letter has a clear overall progression: it introduces the meeting, contrasts positive feedback with the food complaint, and then requests improvements. “However,” “First of all,” and “Moreover” help signal these shifts, and the closing is easy to identify. This gives the response a coherent structure. Some connections could be more precise: “It was all perfectly complementing the theme” follows the praise but does not clearly explain which hotel features matched the theme. The long complaint sentence also combines the quantity issue with several food-quality problems, making the details less easy to follow. Separate these into shorter sentences or a distinct paragraph, and use clearer references to the hotel’s service and the food.
Lexical Resource: Band 6.0
You use a suitable range of vocabulary for a formal complaint, including “participants,” “disappointed,” “undercooked,” “stale,” and “investigation.” These choices communicate the main concerns clearly, and the contrast between the hotel’s positive features and the catering problems is expressed effectively. However, some word choices and collocations are inaccurate or awkward, such as “in regards of,” “welcoming act,” “up to taste mark,” and “take care of these problems.” There are also spelling slips, including “particpants,” “thw,” and “altough.” These do not prevent understanding, but they reduce precision and polish. Aim for natural combinations such as “regarding the feedback,” “warm welcome,” and “meet expectations,” and proofread carefully.
Grammatical Range and Accuracy: Band 6.0
You use a mix of simple and more complex sentence forms, including the contrast introduced by “However” and the clause beginning “as it is…”. Most of the message remains understandable, and the main events and complaints are clear. Some grammatical errors and punctuation issues remain. For example, “I would really appreciate if you can have” needs a more suitable structure, such as “I would appreciate it if you could arrange”; “a detailed brief may be given” is an awkward passive construction; and the final sentence joins two independent ideas with “and” without clear punctuation. Capitalisation is also inconsistent in “madam” and “thank you.” Review conditional requests, articles, and sentence boundaries to improve control while retaining your varied sentence forms.
