Dear Sir or Madam,

Student answer (Band 7.0)

Dear Sir,

I hope you are doing well. I am writing in order to give a feedback about our recent company meeting at your hotel, last saturday. Our team liked your hotel but have complaints about the meals served in lunch.

A special compliment from all the attenders was about the interior designing, seating arrangements and cleanliness. Your simple but attractive decoration catched everyone's attention. The behaviour of staff and a warm welcome at the door was appreciable.

The only thing that somehow disappointed my teammates was the food, It was not fresh at all. It was stale and cold. Except the pasta and salad, almost every other iteam had concerns. The overcooked food spoiled our mood. According to me, we deserved better food quality than what we got on that day.

With the hope of consideration, my suggestion for you would be to have a dedicated quality inspection team and well experienced chef.

Thanks,

Zorawar.

Task Achievement / Task Response: Band 7.0

The letter addresses all three required points and maintains a clear, appropriate purpose. You identify what participants appreciated—“interior designing, seating arrangements and cleanliness,” as well as the staff’s welcome—and explain their dissatisfaction with the lunch by noting that it was “stale and cold” and that much of it was overcooked. You also offer a practical improvement: a quality-inspection team and an experienced chef. These details make the response relevant and sufficiently supported. To develop the ideas more fully, specify which dishes or aspects of the meal caused concern and explain how the hotel could use feedback or check food temperature and freshness. A more tactful, specific request to the manager would also strengthen the letter’s professional purpose.

Coherence and Cohesion: Band 7.0

The information is organised in a clear sequence: you introduce the meeting and its feedback, describe what guests liked, explain the food problem, and finish with a recommendation. Paragraphing helps the reader follow these distinct points, and links such as “The only thing” and “Except” signal contrast. The overall progression is easy to understand. Some connections could be smoother and more precise, however. For example, “Except the pasta and salad, almost every other iteam had concerns” is difficult to interpret because it is unclear whether the dishes or the participants had concerns. The closing also moves abruptly from the recommendation to “Thanks.” Use clearer references and a more conventional closing, and connect the proposed improvements directly to the freshness and cooking problems described.

Lexical Resource: Band 6.5

You use a suitable range of vocabulary for a formal complaint, including “compliment,” “disappointed,” “overcooked,” and “quality inspection.” These choices communicate the main points, and the tone is generally courteous. However, several word choices or collocations are inaccurate or unnatural, such as “give a feedback,” “interior designing,” “attenders,” and “behaviour of staff … was appreciable.” There are also spelling errors in “catched” and “iteam.” These do not prevent understanding, but they limit precision and naturalness. Aim for standard collocations and check spelling carefully; for example, refer to “participants,” say that the interior design “made a positive impression,” and describe the staff’s welcome as “warm and professional.”

Grammatical Range and Accuracy: Band 6.5

The response includes both simple statements and some more developed structures, such as “Except the pasta and salad, almost every other…” and “With the hope of consideration, my suggestion for you would be…”. Most ideas remain understandable, and the paragraphing supports the message. Some grammatical and punctuation errors nevertheless reduce accuracy. In “I am writing in order to give a feedback,” the article and noun construction are incorrect; “last saturday” needs an appropriate preposition and capitalisation; and “The only thing … was the food, It was not fresh” incorrectly joins two sentences with a comma. The sentence about the pasta and salad also has an unclear grammatical relationship between the dishes and “had concerns.” Use accurate sentence boundaries, articles, and prepositions, and vary sentence patterns while checking each clause for a clear subject and verb.
