Dear Sir or Madam,

Student answer (Band 5.5)

Dear Sir or Madam,

I am writing this letter to enquire about the availability of community hall to organise a small event on 10th of November.

All the residents of my neighbourhood are planning to organise a Carrom board competition in your community hall. Due to convenient location of the community hall, members of our group have decided to do this event at your location. Individuals from surrounding neighbourhoods and other parts of the city will take part in this event.

Due to large space and other useful amenities provided by the management make this community hall a better choice. There have been many events organised by our group in the past and everything went smooth all the time.

I would like to know the available time slot on above mentioned date so that we can do neccessary arrangements according to the event time. Moreover, I would be happy to get information about the rent charges and the services which would be included in the costs.

I am looking forward to hearing from you.

Yours Faithfully

Task Achievement / Task Response: Band 4.5

The letter establishes a relevant purpose and gives some useful details: it proposes a Carrom competition, identifies residents and people from nearby areas as participants, and explains that the hall’s location and space make it appealing. However, the response only partially fulfils the requested plan. It describes a one-off event on 10 November rather than a regular weekly board-game evening, and does not explain who among the residents would take part in the recurring activity in much detail. The suitability point is brief, while the questions cover a date-specific time slot and hire charges but do not clearly ask what facilities are provided. Clarify the weekly format and participant group, then ask directly about regular availability and facilities such as tables, chairs, or storage.

Coherence and Cohesion: Band 6.0

The letter has a clear overall arrangement: it introduces the enquiry, describes the proposed event and venue, and ends with practical questions and a polite closing. Paragraphing helps the reader follow these stages, and linking phrases such as “Moreover” make the final request easy to identify. Some connections are less smooth or precise, however. “Due to convenient location” and “Due to large space” repeat the same opening pattern, and the second paragraph moves from the event to the venue without a particularly clear transition. The reference to “above mentioned date” is also less natural than restating the date. To strengthen progression, organise the details around the weekly activity first, then explain suitability, and finish with a concise list of questions.

Lexical Resource: Band 5.5

The vocabulary is adequate for a formal enquiry and includes relevant terms such as “availability,” “amenities,” “rent charges,” and “services.” The reader can understand the main message, and the writer attempts some more formal expressions. However, several choices are imprecise or unnatural in this context: “do this event at your location” is less idiomatic than “hold the event at the hall,” while “rent charges” and “services included in the costs” could be expressed more naturally as “hire fee” and “facilities included.” There are also spelling errors in “neccessary” and “Faithfully” is incorrectly capitalised in the sign-off. Aim for precise collocations and check spelling and formal-letter conventions before submitting.

Grammatical Range and Accuracy: Band 6.0

The response uses a mix of simple and more complex sentence forms, including a relative clause in “amenities provided by the management” and a purpose clause in “so that we can do necessary arrangements.” Most sentences remain understandable, and the overall message is not impeded. Some grammatical errors are present, though. The opening needs an article and a more natural date construction: “the community hall” and “on 10 November.” In “Due to large space and other useful amenities provided by the management make this community hall a better choice,” the opening phrase leaves the sentence without a correct subject structure; for example, write, “The hall’s large space and useful amenities make it a suitable choice.” Also use “the above-mentioned date” or repeat the date, and “make the necessary arrangements.”
